Checklist: how to prepare for an inspection

A practical checklist for workshops: what you need, what to verify and in what order. Plain language, no legal jargon. Free PDF.

  • What inspectors check most often
  • Documents you should have on hand
  • Common record-keeping mistakes and how to avoid them

Records have to be kept as you go, and that is the easiest thing to forget

The point is not to sit down once a year and reconstruct everything from memory. Your records should reflect what actually happens in the workshop, day by day.

Entries must be made immediately

Hazardous waste records are kept as waste is produced and handed over. In a busy workshop that is easy to forget, and a month later nobody remembers the exact amounts.

Once submitted, it stays submitted

A submitted entry cannot simply be withdrawn. An auditor can question it and you have to explain it. That is why it pays to verify stock and masses before you report anything.

Gaps in records cost money

Failing to keep records, or keeping them inaccurately, carries administrative penalties whose level depends on the breach and on national law. Not a reason to panic, but a good reason not to postpone.

Who it is for

Do you run a workshop, or work with workshops?

Recyapp works both ways: as a tool for your own records, and as a product you can recommend to your clients.

For workshops

You want records off your mind

Log waste as you go, get reminders, and check the data before it is reported. No spreadsheet, no catching up at the last minute.

  • Entries in seconds, right in the workshop
  • Reminders for entries and the reporting deadline
  • Preview of stock and masses before submitting

You work with many workshops

If you advise on waste management or collect waste from workshops, Recyapp can be the tool you recommend to your clients. Records that add up mean fewer calls and corrections on your side.

Entry reminders

A weekly nudge so your records never pile up until the week before the deadline.

Update history

One place shows what was updated and when, so it is easy to reconstruct what happened.

Check before submitting

Verify it before it is reported

A submitted entry stays on record and can be challenged during an inspection. Recyapp shows the full picture (stock, converted masses and change history) before you report anything. So you report what you actually have, instead of correcting it afterwards.

  • Preview stock and masses before submission
  • Change history: every number is traceable
  • Fewer corrections and less explaining of discrepancies

FAQ

Frequently asked questions

Do waste records have to be kept continuously?

Yes. Hazardous waste records are kept as waste is produced and handed over, not once a year before the report. Recyapp reminds you to make entries so the data does not drift from reality.

When is the annual waste report due?

In Poland the annual report on waste produced is submitted through the BDO system by 15 March for the previous calendar year. The app shows a countdown and reminds you in advance.

Does a car workshop have to keep waste records?

Yes. Car and motorcycle workshops produce hazardous waste: waste oils, oil filters, brake and coolant fluids and batteries, all subject to record-keeping.

Does Recyapp submit data to the register for me?

In Poland, Recyapp has a live integration with the BDO register. The register itself always remains the source of truth, so before anything is submitted you see the full picture: stock, converted masses and change history.

Which waste streams are most common in a workshop?

Typically: waste engine and gear oils (13 02 05*), oil filters (16 01 07*), brake fluids (16 01 13*), coolants (16 01 14*), packaging contaminated with hazardous substances (15 01 10*), discarded equipment (16 02 13*) and lead-acid batteries (16 06 01*).

Do I need to install anything?

No. Recyapp runs in the browser, on desktop and tablet, so you can make entries right there in the workshop.

What are the consequences of incomplete records?

Failing to keep records, or keeping them inaccurately, carries administrative penalties. Levels are set by national law, so it is worth confirming the specifics for your country.
